Practical checklist for heads of institutions as large-candidature papers begin.

This week brings the first large-candidature KCSE papers. For centre managers, the job is to get every paper issued and returned correctly, and to keep to the access, phone and clock rules KNEC restated on 1 November. This checklist draws on KNEC’s 2026 briefing notes and that message.

What is on this week

DayPapers
Mon 2 NovEnglish 1 (morning), Chemistry 1 (afternoon)
Tue 3 NovMathematics 1 (morning), English 2 (afternoon)
Wed 4 NovChemistry 2 and General Science 1 (morning), English 3 (afternoon)
Thu 5 NovKiswahili Lugha and Insha
Fri 6 NovChemistry practical

Confirm the exact times against the printed KNEC timetable at your centre.

Before the first paper each day

  • Collect materials at the official time. KCSE materials are collected at 7:00 am for the morning session and 12:30 pm for the afternoon. Verify the carton labels and sign for what you receive. Morning cartons are white with blue straps, and afternoon cartons are yellow with black straps.
  • Use the right transport. Materials move in designated transport with an armed security escort.
  • Check every exam room has a working wall clock. Candidates may not wear wristwatches of any kind.
  • Prepare a lockable place for phones outside exam rooms. Phones belonging to everyone at the centre, security officers included, stay locked there, with the supervisor keeping the key.
  • Confirm the weekly authorised list is current. It should show each person’s name, ID number, TSC number, telephone number and role, and carry the SCDE’s endorsement.
  • Open the gates by 6:00 am. They stay open until the day’s materials leave the centre.

At the centre during the paper

  • Check who is on site. Everyone present must be on the list and carry an original national ID card. School directors, Board of Management members, bursars, accounts clerks, secretaries and unauthorised teachers must be elsewhere. See our guide to who may enter an exam centre.
  • Keep records at the phones desk. The monitoring register, visitors’ book, list of authorised persons and school stamp belong at the desk where phones are kept, not in your office.
  • Let monitors in. KNEC monitoring officers can go straight to exam rooms without reporting to your office.
  • Let the supervisor run the room. Supervisors open question paper packets five minutes before the start time. Counterfoils on question papers must not be detached until the session ends.
  • Handle absent candidates correctly. Mark them “AB”, seal their papers in the packet, and place it on a desk in the room for the whole session. Report absences through the KNEC CP2 portal daily.
  • Keep the daily register. The online register is completed daily, printed, signed by relevant personnel and stamped by both you and the SCDE.
  • Carry your own papers. Centre managers, supervisors and invigilators carry printed appointment letters, ID cards and badges every day.

After each session

  1. Have the supervisor account for all scripts in the room, in front of candidates.
  2. Check each return envelope has its Return Cover Page (barcode facing up) and Script Control Form.
  3. Staple used question paper envelopes and enclose Sheet 1, counterfoils and unused papers, including papers for absent candidates.
  4. Return materials to the container with an escort, and sign the receiving printout.
  5. Prepare a seating plan for each paper and enclose it with the scripts.

Chemistry practical on Friday

  • Practical candidates must be at the centre by 8:00 am.
  • Only authorised subject teachers may be in the laboratory, and they must remain in the preparation room during the paper.
  • Only the Chemistry teacher handling the candidates may collect data for the tables in Question 1, about 30 minutes before the end of each session, under the supervisor’s watch.
  • Biology and Physics teachers must not perform any part of the practical.

If something goes wrong

KNEC asks that emergencies, including flooding, be reported immediately to its call centre. The Ministry has ruled out postponing KCSE for El Niño, and its contingency plans include moving candidates, alternative transport, and air delivery of materials to affected centres. Candidates who cannot reach their registered centre must not be declared absent. Report the case to KNEC at once and record the alternative venue.

Mistakes to avoid this week

  • A list that is outdated or missing ID numbers
  • Phones left in the exam room, or the key held by someone other than the supervisor
  • Registers kept in the centre manager’s office
  • Detaching counterfoils early
  • Mixing the morning and afternoon cartons
